What is on-premise attendance software?
On-premise attendance software runs entirely on servers you control: enrolment templates, clock-in records, shifts and reports never leave your network. With biometric attendance specifically, that matters twice — biometric identifiers are the most regulated category of personal data in the world, and many deployments (plants, mines, government facilities) run on restricted or offline networks. When on-premise beats cloud
- Regulated biometric data. GDPR treats biometric identification data as special-category; US state laws (BIPA), India’s DPDP, the Gulf’s PDPL and Türkiye’s KVKK all restrict where it may live. Keeping templates on your own servers is the strongest residency answer — our compliance hub covers each regulation.
- Isolated or unreliable networks. On-premise servers plus offline-capable kiosks keep clock-ins flowing with no internet at all.
- Procurement rules. Government and high-security buyers often cannot use foreign clouds; a perpetual licence with local hosting fits how they buy.
Cloud still wins for distributed teams with good connectivity and no residency constraints — the right products let you run either, on the same apps and enrolment.
What it should cost
Expect self-hosted software to be priced at or slightly above the equivalent cloud subscription — you keep the data, the vendor still ships updates and support into your environment. Two common models: a yearly per-employee subscription (updates included) or a one-time perpetual licence with an annual maintenance plan. The buyer’s checklist
- Multi-modal biometrics. Face alone fails with masks, dust and gloves. Look for face + contactless fingerprint + iris with automatic fallback.
- Offline capability. Can a kiosk verify on the device and sync later? If verification requires the server, one switch failure stops the gate.
- Hardware freedom. Phones, tablets, webcams, IP cameras and third-party Android terminals should all work — see supported devices. Avoid single-vendor terminal lock-in.
- Encrypted templates, not images. The system should store non-reversible templates and never retain raw face or fingerprint images.
- Consent and retention tooling. Enrolment-time consent capture, retention limits and deletion workflows are what auditors ask for first.
- Access control and visitors on the same platform. One enrolment should serve attendance, doors and visitor management — see how the architecture fits together.
- Payroll integration. Payroll-ready exports and a REST API into your ERP/HR stack.
- Algorithm provenance. Ask whose recognition engines the product uses and how they score in NIST evaluations — accuracy differences show up as failed clock-ins at the gate.
